Why document verification is important

Ensuring client safety starts with making sure every support worker meets the required standards to work in aged care, disability, and community support settings. Therefore, verifying your documents is a key step in activating your profile on mobility.

These checks ensure you’re qualified, safe to work with vulnerable people, and meet the compliance obligations set out by the Aged Care Quality & Safety Commission, NDIS Quality and Safeguards Commission, and other regulatory bodies.

What we verify:

Below is a simple overview what we require when verifying your documents, to keep you compliant and ready to work.

Police Clearance (Australian National Check)

All workers must hold a valid Police Clearance issued within the last 3 years.

We check:

  • The format, to ensure all required information is recorded
  • That it’s an employment clearance (volunteer checks cannot be accepted)
  • Any listed disclosable court outcomes – These are assessed to check for offences that preclude a person from working in aged care, disability, and child-related roles.

Proof of Working Rights in Australia – Passport

If you are not an Australian citizen, we verify your working rights by checking your passport details through the Department of Home Affairs secure online platform ImmiAccount.

This confirms:

  • Your visa status
  • Any work restrictions
  • Your visa expiry date

Statutory Declaration (Aged Care Requirement)

If you are providing Aged Care services, you’ll need to complete a Statutory Declaration to declare whether you have ever been convicted of, or charged with, certain serious offences outside Australia.

We check that:

  • All fields are completed
  • You have signed the document
  • An authorised witness has signed and is from an approved witness category

Vaccination Records (COVID-19 & Influenza)

Vaccination is not mandatory to work on mobility, however, some clients require workers to meet specific vaccination requirements. Residential aged care facilities have ongoing requirements for annual flu vaccinations for staff.

We verify:

  • Official digital certificates or Immunisation History Statements (no handwritten documents)
  • Dose dates
  • Vaccine brand names must align with vaccines approved by the Therapeutic Goods Administration (TGA) for use in Australia.
  • That influenza vaccinations are within the last 12 months

First Aid & CPR

Our team use their expertise to manually review the certificates, as well as confirm authenticity through official RTO verification platforms for the following nationally recognised units:

  • First Aid – HLTAID011 or HLTAID012 (valid for 3 years)
  • CPR – HLTAID009 (valid for 12 months)

Aged Care & Disability Qualifications (Cert III/IV)

Our document verification team carefully check the document to ensure it has all required fields. Additionally, we use official RTO verification platforms to confirm the authenticity of their certificates. We may request your Unique Student Identifier Transcript (USI) to assist in the verification process.

Assisted Transport Documents

If you offer transport services, we confirm that you meet all safety requirements.
We verify:

  • Driver’s licence – this must be current and for the correct state
  • Vehicle registration – this is checked using state-based registries
  • Comprehensive car insurance – we check the document to ensure all details and cover level are correct

Working With Children Checks (WWCC)

If you support children, your WWCC must be current and for employment purposes.
We verify checks through each relevant state WWCC database. In some states, we are required to link mobility to your WWCC registration.

NDIS Worker Screening Check

Anyone providing disability services in risk-assessed roles needs a valid NDIS Worker Screening Clearance, which we verify through the NDIS PRODA portal. We link mobility to your record with NDIS, to ensure we receive any updates to the status of your clearance.

Nursing Registration (AHPRA)

For Registered Nurses and Enrolled Nurses, we verify your registration details on The Australian Health Practitioner Regulation Agency database (AHPRA) to confirm your registration status, type, and expiry. We also check for any relevant conditions, endorsements, notations, and registration requirements.

Public Register Checks

We also check the following public registers:
  • Aged Care Quality and Safety Commission – Banning Orders Register
  • NDIS – Compliance and Enforcement Actions records

Other Documentation

Other support worker documentation is verified against relevant state databases and recognised organisations to ensure all qualifications and registrations are authentic and current. Each submission is also rigorously assessed for inconsistencies or irregularities to detect and prevent potential fraud.

Document verification is a once-off process for some items, but most certificates (like First Aid, CPR and Police Checks) need updates once they expire. Keeping your documents current means:

  • No interruptions to your work
  • Access to more shift types
  • A streamlined experience for clients and workers
